Zapier

7.2/10

Zapier is a no-code automation platform that connects thousands of business apps and adds AI steps, agents, and chatbots to workflows for teams of any size.

Data last updated November 2026 · Our methodology

Overview

Zapier lets non-technical staff build automated workflows, called Zaps, that pass data between web apps when something happens in one of them. Review sites and comparison articles credit it with the largest app catalog among automation tools, with more than 8,000 apps connected. Over the last few years it has added AI features on top of this base. AI by Zapier and AI fields run language model steps inside Zaps and Tables. Agents carry out multi-step tasks, Chatbots answer questions, and Copilot builds workflows from a plain-English description. Canvas, Forms, Tables, and MCP support round out the platform. Pricing is based on tasks. Every successful action step uses one task. The free plan gives 100 tasks a month and allows only two-step Zaps. Professional starts at $29.99 a month on monthly billing, or $19.99 a month billed annually, for 750 tasks. Team starts at $103.50 a month, or $69 billed annually, for 2,000 tasks, and adds up to 25 users, SAML SSO, and audit logs. Enterprise is priced by quote and adds SCIM, advanced admin controls, and a technical account manager. Agents are billed separately in activities, and Chatbots are sold as a tiered add-on. Zapier suits small businesses, marketing teams, sales operations, and agencies that need to link many SaaS tools quickly. Its main limitation is cost at scale. Multi-step and high-volume workflows use up tasks fast, overage charges apply, and reviewers repeatedly complain about bills that climb. There is no self-hosted option for teams that need to keep data on their own infrastructure.

Who Zapier is best for

Good fit

  • No-code workflows across more than 8,000 apps automate processes across the company.

  • A free tier, low entry pricing, and a beginner-friendly no-code builder fit small teams well.

  • Reviewers praise how well it connects marketing tools such as Google Ads and Mailchimp.

  • Teams can start automating quickly without engineering time.

  • Shared workspaces on the Team plan and the broad app coverage help agencies serve many clients.

  • The free and Pro plans cover single-user needs, but costs grow with usage.

  • The Team plan supports 25 users with SAML SSO and audit logs.

  • It handles lead routing and CRM sync well, though it has no built-in contact data.

Less suited

  • Enterprise adds SCIM, SSO, and governance controls, but high-volume task costs and the lack of self-hosting are drawbacks.

  • Chatbots and agents can answer questions, but it is not a helpdesk.

  • It offers API access and MCP support, though it is aimed at non-technical users.

  • Stores can connect their apps, though the notes show nothing ecommerce-specific.

  • SCIM, SSO and admin controls are available, but there is no self-hosted deployment.

  • Generic app automation can link HR tools, but there is no HR-specific evidence.

  • The lack of a private deployment option limits use in strict public-sector settings.

Pros & Cons

Pros

  • Its app catalog is the largest among automation tools, which reviewers single out as unmatched.
  • Non-technical users can build simple two- or three-step workflows quickly from templates or Copilot prompts.
  • Agents, chatbots, and AI steps sit alongside existing workflows, so you do not need a second platform for AI.
  • Holds a SOC 2 Type II attestation and SOC 3 report, with SAML SSO and audit logs from the Team plan.

Cons

  • Every action step uses a task, so multi-step and high-volume workflows get expensive quickly.
  • Overage on monthly plans is charged at 2.5 times the base task rate.
  • The free plan allows only two-step Zaps and lacks filters and AI by Zapier.
  • There is no self-hosted or private deployment option, unlike n8n or Activepieces.
  • Users report complaints about billing, refunds, and an all-day outage in October 2025.

Each successful action step in a Zap counts as one task. Multi-step Zaps therefore use several tasks per run.

Pay-per-task overage applies at 2.5 times the base rate on monthly plans and 1.25 times on annual plans. Usage pauses once it reaches 3 times the subscription.

Annual billing is about 33% cheaper than paying monthly. For example, Pro at 750 tasks costs $19.99 a month billed annually instead of $29.99.

Yes. Zapier holds a SOC 2 Type II attestation and a SOC 3 report, audited annually. The SOC 2 report is available under NDA through its Trust Center.

SAML SSO starts on the Team plan. SCIM provisioning and advanced admin controls require Enterprise.
